Announcements: Teri Lynn Thayer leaving Brown University after 23 years. To see the video of the festivities please click here. The password is TLT. Also, Mike Pickett will be retiring as Executive Vice president as if June 30, 2013. We wish them both the best and thank them for all their hard work.

David Sherry is now in his new office located at 169 Angell Street and invites you to come by and visit. He also wanted you to be aware that January was Data Privacy month! There was an event on the topic of Data Privacy on January 28th. Hope most of you attended!

Chris Grossi discussed about this month being Disaster Recovery month and that he wanted to send thanks to all of you out there helping on that project. He also mentioned that they are working on a version of VPN that will be compatible with Windows 8. That will be coming soon. Also, SEE for Macintosh clients is not yet ready for 10.8 ( Mountain Lion) Symantec is aware of the issue and they are working on a working version. No time frame for that just yet.

DELL was on board to talk about their new exciting product lines and to answer any questions we may have had. Aaron Sherman (account rep) and his hardware rep were there to hand out pizza and lots of Windows 8 love. They basically explained that Windows 8 is really Windows 7 under the covers. He spoke of Dell being a one stop shop for all our needs… not just for PC’s but software etc. He also showed us some of the new products coming out in 2013 and their views on Mobile Device Management . One of the new items shown was the Latitude 10- a tablet with some “oomph”. The Latitude 10E was lower priced version of the same product with a sealed battery case, no HDMI and less ports. The XPS 10 was a consumer product with Windows RT as the OS. It does not have domain access. Please note the XPS 10 has no legacy support. They also mentioned other computers in the XPS line, particularly the XPS 13, XPS 14 and XPS 15 and the new Dell 9010 all-in one. The XPS 12 is a tablet/laptop hybrid with full HD and comes with either an i5 or i7 processor. Another item mentioned was the Latitude 6430 ultrabook. Much thinner than most in its class and is 14” with Ethernet and VGA and weighs in at 3.3 lbs. The Dell Optiplex line was also discussed and it’s future. The 7010 will well be available into 2014. They also spoke of the replacement for the 7010 coming in Q3/4 of 2013.

There is no audio available this month due to the subject matter presented by Dell.

Thanks to all who attended.

Pat Kinghorn – Updates

We have two new members on the DCC Steering Committee! Kristen Soule has decided to return to the DCC Steering Committee after taking some time off. Our other new member is Jesse Coutu.

David Sherry: Security Updates

Laptop Encryption updates – only 46 out of 1000 licenses of Symantec Endpoint Encryption have been used. ISG will be drafting a list of people and departments that they would like to see encrypting their laptops for the best interest of the University. CIS will also be providing Mozy licenses with the encryption software to allow users of encrypted devices to back up their data to the cloud – The Mozy license will allow for unlimited backups.

PCI DSS assessment – Payment Card Industry Data Security Standard – Brown has to be compliant. Higher Ed focused company came in to evaluate Brown and its 52 credit card merchant accounts. Brown is not PCI compliant, and will be rolling out 30 day, 60 day, 90 day, 180 day, and 365 day goals to make sure Brown is PCI Compliant in the future. Although this is not federal law, this standard comes from 5 largest CC companies. They have the authority to fine us if we are not compliant, or not allow us to use their cards.

Cloud Based Data Storage – Dropbox.com is inherently insecure and is for commercial use, not enterprise use. Brown is looking into emerging technologies such as internet 2, Net+, box.net, google drive as approved cloud based data storage solutions

Laptop Loaner program – 6 Dells and 4 Macs have been purchased and they are located at Service and Repair. The Systems are unencrypted, and intended for traveling Faculty that do not want to take their own devices with them. The machines are scanned and wiped after being returned.

Protecting Brown Information Class – This class will not be schedule anymore. It will be on-demand, and the online presentation is available.

New twitter accounts – CISO@Brown and ISG@Brown – Will be publicized during October which is National Cyber Security Awareness Month. Prizes to win for those who follow!

Two step Google authentication is now an opt-in service – This provides an extra layer of Google authentication for individuals who would like to opt in.

Scott Thacher – Community Technology Consortium overview

Scott is the IT Director for the Division of Campus Life and Student Services and Chair of the Community Technology Consortium

CTC – A new group that has been created as an advisory group to Mike Pickett on Big Picture IT strategies, architectures and methods.

This group meets once per month, and serves several purpose, including the vetting of and soliciting feedback from the Brown community about big IT projects that will be affecting the community in a big way. They serve to take community feedback on things that the community wants, that are not currently provided by CIS including but not limited to, Storage Infrastructure, Virtual Infrastructure, andprivate cloud for Brown use, to name a few examples. Membership includes high level members of Brown’s IT community.

Notes submitted by Peter Mello

Announcements: Chris Grossi announced that the new Dell hardware will be out on their web page for us soon. They are also working on a new image for us as well. Apple’s 10.8 has been released and so far the testing CIS has done has been successful with most Brown used software. The exceptions so far being Symantec Endpoint Encryption and a slight issue with Sophos. The MyConnection database will be purged by the time you read this. Brown.edu/CIS will go to Shibboleth soon. Adobe CS 6 will be released in September.

Scott Martin mentioned a few FileMaker updates as well. The FileMaker server will go live on the 14th of August. There is also a Filemaker 12 release form if you want to get a copy of FileMaker 12. So far there are 500 licenses but we can go up to 750-1000 if needed.

Adobe: Adobe stopped by and discussed the desire to strengthen their relationship with Brown University. He took questions from the audience and talked about a few of the new features of Acrobat and how Adobe really is all over, between Smart devices, desktops etc. For more information about CS6 and all it offers as well as products for iPads, iPhones, Android devices and the like contact Adobe online for more direct questions on how Adobe can help you contact the Speaker at timothyp@adobe.com or call at 207-318-8302.

Audio for the meeting is available here.

Announcements:

Pat Kinghorn announced that there was a FileMaker one day conference meeting at MIT next Wednesday, June 20th, 2012. If anyone is interested, please e-mail her, and she will send along further information.

Chris Gross announced that Maple 16 will be released shortly. Chris mentioned that Dell did fix some of the issues which were problematic on the premiere page, such as the default login going to their software page, and not to computer equipment. Dell is in the process of rebuilding the information on their software page. Chris was going to send around a Google spreadsheet to all of the system admins and DCCs to ask for suggestions on what types of software should be included on this site.

Chris also told the group that he and Scott Martin had met with some folks from FileMaker regarding an on-line training series initiative. This series appears to be an excellent and inexpensive way to gain needed training.

David Sherry: Password Strengthening Policy (10+)

David Sherry then introduced the new password policy to the DCC community. With the onset of Workday, and Oracle Identity Management (OIM), David remarked that it was an ideal time to implement a campus wide initiative for the strengthening of passwords. The reasons for strengthening the Brown network passwords are due in part to the increased amount of confidential information available to both faculty and staff, through for example WorkDay and Banner. Also Brown’s ability to qualify for funding and grants also mandate that the password policy be upgraded. Compliance with the Level of Assurance with InCommon (Shibboleth), which would raise our level from Bronze to Silver. Due to these requirements, the password convention must be bumped up from eight characters to 10 or more characters. David Sherry stated that there would be a grace period whereby members of the community could begin this process. Eventually it will be necessary for each person in the Brown Community to verify their identity by logging into the Oracle Identity Manager, where the password change will take place. David is encouraging that this process commence on June 20th. Passwords will have to be changed annually. At the 351st day, notifications will be disseminated to Brown users as a reminder to change their password. The password must be changed before the expiration date, or a user may lose the ability to authenticate into Brown resources. Near the conclusion of his presentation, David Sherry distributed a pamphlet to the DCCs with specific information regarding the password policy. For more information please visit: www.brown.edu/go/passwords

Scott Thacher: Community Technology Consortium (CTC)

Scott Thatcher gave a brief presentation on a new initiative entitled, “Community Technology Consortium.” He remarked that the CTC is an advisory group which directly communicates to Mike Pickett on issues voiced through the IT community here at Brown. The purpose of this group is to promote coordination and communication across IT’s strategies, architectures, methods and priority. It is hoped that this consortium will assist:
Identifying and planning top priority collaborative initiates within Brown.
Allowing Brown-wide IT best practices and standards to be jointly developed
Fostering innovation and allowing ideas and solutions to be broadly shared.
Coordinate support transitions of IT leadership, during times of emergency.
Serving as a technology advisory group.
Providing advocacy for issues of the IT community’s concern.

It is hoped that the Consortium will have a web presence sometime in the future. The membership includes: Tony Allison, Andrew Ashton, Jeff Coady, Jaime Combariza, Monty Combs, Cliff Hirschman, Chris Keith, Paul Koussa, Jennifer lane, David Mycue, Kristen Soule, John Spadaro, and Scott Thacher.

Tom DuValley: Red Hat Server License

Tom DuValley presented the campus-wide site license for several Redhat products, including server, workstation and clustering software. This service will be managed through a Red Hat Network Satellite service providing:
•	Licensing
•	Hosts and serves out all software
•	Hosts and serves out all software updates
•	Provides Kickstart management
•	Config file management
•	Update management
•	System profiling
Workstations and servers for all Brown faculty, staff and students will be licensed at no cost. Vendor support will be available to all those who are licensed. The way to install this system is via Kickstart, which is accomplished through the Campus PXEBoot service.
Brown’s particular satellite is called Hubble, RHN.brown.edu, and is great for system administrators, because it provides a central management hub for all of these systems. If a department wants to manage their own machines, they get their own log in and their own account.
Please visit https://sites.google.com/a/brown.edu/brown-rhn-satellite/ for further documentation, and for specific satellite documentation please visit https://rhn.brown.edu/rhn/help.

The DCC Steering Committee is also looking for some new members! If you would like to join the Steering Committee to share your ideas, thoughts, and anything else please contact Pat at DCC_Liaison@brown.edu.

Chris Grossi spoke about Recycling day- it was a success!!! Two full trailers, 55 pallets and 16.5 tons of surplus goodies! It saved Brown $15,000. Good going team!! He also spoke of Matlab license removal- there will be more info on this on a Blog post including the renewal information. Adobe CS6 was released and we should be seeing that come to campus for download in the summer.

Scott Martin – gave a presentation on the new Filemaker Server project!! It is here!! Finally! The launch date for the project is projected to be July 2012. The Server will be able to host Filemaker databases for the university using the Filemaker Pro 12 Advanced Server. Please note that all previous versions of Filemaker files will need to be converted to version 12 as this is a new file format. Files will be accessible via Ethernet, Brown Secure and VPN. There will be levels of access from Admin down to standard user. Scott also discussed the new ITSC a la carte program where departments that do not have a DCC or ITSC person for their group can get services from ITSC for a fee. The limit is 10 hours a month. There will be a list of fees and services provided for on the website soon. Scott can be reached at Scott_Martin@brown.edu for questions. His presentation can be found at: http://www.brown.edu/cis/support/dcc/.

On Wednesday April 18th, there will be a hands on Tech Forum. The topic of this forum is the Brown standard images. There will be laptops there that will be imaged from the deploy server during the meeting.

On June 5th the new Dell desktops will be available for order. They will be the 9010’s. They will not have a Brown std image on them until CIS can get one in to build the image. One should be available on the the deploy server shortly after CIS receives their machine.

The Matlab renewal is approaching. The is the possibility of some new toolboxes being added to our license. No toolboxes will be removed. Preferred method for getting a copy of Matlab is through the Matlab TAH license. If you are going to image a cluster with Matlab, please do not use this license. There will be a package from CIS to use in these instances. More information will be coming.

Brown only saw about a ½ dozen infections of the recent Mac Vulnerability according to the Sopohs server.

Starting this month Microsoft patches will be delivered to managed ITSC and managed Biomed computers through SCCM.

John Spadaro

John spoke of the new IT Governance at Brown and went through the process of getting projects funded through CIS. The new process was put in place to try to get the decision making into the hands of the people that run the University. You can read about the new IT Governance here:

http://www.brown.edu/it/governance/home

As always, if you have any questions about IT Governance please send them to John.

Academic Technology Services(AT)

Carrie Saarinen and Kelly Egan came to talk about what ATS can do for you.

Academic Technologies helps professors with course related technologies for teaching and learning. They have funds available to help faculty with new ideas they may have in teaching their courses. The have the resources to put ideas into actual teaching.

AT has 4 multimedia labs available for teaching and student lab use when there are no classes going on. The facilities are equipped with Video production equipment. There are consultants available to help guide Faculty during classes and students during lab use.

AT has funding to try out new ideas in the classroom. An example was using both ipads and kindles in a class to determine which would work best in that setting.

AT offers services as well as innovation. They will help develop new technologies but once they become mainstream, they will then become a service supported by AT.

Canvas is the new learning management system. They have been very active talking to other schools about how they are using it.

They would be happy to come to your faculty meetings to do a presentation on What AT Can Do For You. Pat Kinghorn said it was very beneficial and successful for her Faculty.

You can find out more about Academic Technologies at brown.edu/go/teachwithtech

Announcements – Chris Grossi

We’re down to two weeks left for the Symantec Antivirus license. CIS is tracking and running reports of machines that are still contacting the SAV server. ISG has sent reminders to departments that have many remaining SAV clients. We need to get full migration completed by the end of March to both ensure active and current client security, and to be in compliance with our licensing agreements and protect Brown from a license audit and penalties.

CIS has been working with SAS to extend licensing across campus, they are close to being ready to un-key SAS licensing. Standalone SAS will be available to departments before the end of the semester. Anyone using a keyed installation of SAS will need to uninstall their preior version and reinstall the new unkeyed version. Students are included in the licensing and can install SAS on their own computers.

By the end of this patch cycle, Windows machines managed in the CIS SCCM system will have their Microsoft updates managed by SCCM.

As part of Brown’s Dell contract, Dell will be running a Recycling Day on Friday 20 April (Earth Day weekend) to allow Brown-owned and personal equipment to be dropped off for recycling. Details are still being worked out, look for more information from CIS soon.

Brown’s Eduroam wiki page.

• Identity finder was released; this software will scan any computer for personally identifiable information. DCCs, please talk this up with your departments. Encourage people to run it. CIS collects only the fact of a positive find, not the specifics. If you scan and find 2 instances of social security numbers, CIS learns that 2 SSNs were found, not what they were. It’s best to mark false positives and clean up true PII using the tool, then run it again so it can report a clean status. David will be speaking to Academic Department Managers and Administrative Leadership group about ID finder. At some point it *may* become mandatory, but is not yet. Two useful sites: ISG’s introductory page on Identity finder and Brown’s ID Finder FAQ (on the wiki)

• Symantec EndPoint Encryption (SEE) coming out 2/9/12. ONLY IT staff should be the ones doing the installations. It is very important to read the documentation, as there are some critical things to be aware of. Brown has 1000 licenses. It is recommended for folks who travel inside the US a good deal, for people who work routinely with PII (such as HR folks), and those who use private research data. Please note however, if you travel internationally, that many countries forbid encrypted data to enter their countries; you could be asked to leave your machine with Customs! Check in with David Sherry before leaving the country with an encrypted hard drive.

CIS has a good FAQ by Pat Falcon up on SEE.

• Cisco VPN was decommissioned 10/30/11.

• David is actively pursuing PII discovery for servers.

• Google’s new privacy policy will not impact Google Apps for Education.

A discussion of Google’s practice of mining data from searches ensued. One search engine which does not do any data mining is duckduckgo.com. Chrome incognito is also good for avoiding tracking cookies.

• ISG staffing changes: David’s newly redefined position is a result of his being asked to focus more on areas of privacy and compliance. The shift is from more traditional “IT Security” to “Risk Function.” His technical staff have moved to the Network group, where they do the same work under a different director.

Chris Grossi: Announcements and Software Survey results

• Google+ is active

• Novell has been shut down and will be decommissioned. This project took 4500 hours.

• CS 5.5 for Windows and Mac is available.

• ESRI (ArcGIS): new toolboxes are available.

• FEP/Sophos: please uninstall all symantec antivirus. We need to be off of it by the middle of March.

• At the Tech Forum next week, Chris will present on the “current state of SCCM.” February 15 at 1PM @ 169 Angell St. Rm. 212.

Software Survey: performed as directed by ITAB (IT Advisory Board). 20% of faculty participated: over 1000 responses. Excellent representation, particularly by the sciences.

I. Announcements from Chris Grossi:

Google + integration is coming at the end of the month. Announcements to campus will be sent out. This will be an opt-in service, and it will likely be heavily used by students.

CIS is down to 2MB on the Novell system. CIS will be filing a Sys-change so that no more provisioning of Novell user accounts occurs.

CIS will be upgrading the license file on the ESRI ArcGis Server this week.

Dell is concerned about Hard Drive shortages due to flooding in Thailand. This has been affecting many PC Manufacturers. If you have any large orders to place over the next several months, contact Aaron Sherman, Brown’s Dell Representative, and he may be able to set them aside for you.

Pia O’Reilly – Sophos and Fep updates.

Near completion with the antimalware project – FEP and Sophos have been posted on the Brown Software page at software.brown.edu.

FEP automated push testing is nearly complete. The FEP push will be done on Tuesday, Jan 17th. Targeted departments will be made aware of this.

Other key milestones include:

i. Feb 29th – DCC Completion of manual FEP deployment.

ii. March 1-23 – SAV Server monitoring will take place.

iii. March 30th – SAV server decommission.

The removal of SAV with the packaged FEP installer has been fixed.

Brown owned systems should be getting Forefront Endpoint Protection and Sophos for Windows/Mac, Personal workstations should be getting Microsoft Security Essentials and Sophos personal edition.

III. Card Vending Upgrade Project

Updates by Scott Thatcher – Director of IT for student life.

Brown currently has a highly distributed vending infrastructure, and much of the equipment is no longer under a support contract.

Two stripes located on the back of all Brown IDs.

Thin stripe – “Offline” stripe that holds static information ($ amount), is able to be used at copy machines, pawprints printing stations, laundry machines and some vending machines. This stripe needs to be filled at ageing CVC machines using cash or credit.

Thick stripe – “Online” stripe that has account information, which is connected to the Odyssey system for keeping track of Dining, bookstore purchases, library, and other purchases

Phase 1 of the upgrade project should be completed by the end of January.

Copy and Pawprints services will be moved to the online Odyssey system. A valueport card center will allow you to save money on a central value store.

If you lose your card, you won’t lose your money!

New value named “Bear Bucks” has been coined in an effort to spread awareness of the new system.

Phase 2 of the upgrade project is projected for the end of this summer.

Laundry and some vending will be moved to the Odyssey system, allowing access to centrally located funds from any machines that accept the card

A user portal is being developed – will eventually allow online interaction and transactions.

The thin stripe will eventually be eliminated, and the value on this stripe can be transferred to the thick stripe (Central value store)

General Discussion

DCC meetings will be bringing back the post meeting general discussion, provided that there is time. If anyone has a topic to bring up at the end of our meetings, please feel free to discuss!

The bookstore will be getting demo workstations and laptops soon. They will include the Optiplex 790 series, and the new Latitude E Series.

Don Rogers shared some detailed insights with us with regards to the renovations that recently took place in Metcalf building. Listen to the full audio for more details. The point to take away from Don’s discussion was, if anyone is involved in a remodeling project at brown, do your research and get in touch with facilities and media services to make sure Brown preferred vendors are performing the work!
